Epicor ERP 9 and Epicor ERP 10 Serial Numbers…Everything you wanted, and perhaps didn’t want to know about them.
Epicor ERP has a key feature in the ability to track serialized parts. Serial tracked parts can be either purchased or manufactured. Serial tracking offers another ability of tracking a specifically identified part. If the part is purchased, the serial number tracking shows when the part was received into Epicor. Also, if the part requires inspection, it will track if passed or failed inspection, and if fails inspection is linked to a defective material request number. In addition, it will track when and where it was placed into inventory. Further, it tracks which job the serial number was issued to and finally, the part will be tracked when it is shipped to a customer.
Consider carefully which parts will be selected for serial tracking. If a part that is inventory and will have a high quantity of stock, every time physical inventory or cycle counting is done, Epicor will want to know every serial number in stock. If the part has a count less than what is in stock, Epicor will want to know which serial number is not in stock. This becomes tedious if the part has hundreds or thousands of on hand quantity showing in stock. Also remember any time you move a serial tracked part from one warehouse and/or bin to another, you’ll need to specify the serial numbers involved. If you need serialization and move a lot of products around, you’ll likely want to use hand held bar code technology to streamline the tracking process. Another consideration is every time a part is received into inventory or Inspection Processing will occur, the serial numbers must be entered at time of receipt or at time of Inspection Processing.
After considering and choosing the parts to be serial tracked, you must first complete the appropriate setup features in Epicor. Set up selections must be chosen in Site Configuration and Company Configuration. The next step is to decide which type of Serial Number Format will be used for a part. The three types to choose from are Numeric Only, Alphanumeric, or Serial Mask. If you choose Serial Mask there is further set up selections that need to be completed.
In Serial Mask Maintenance, you must create the Serial Mask and choose whether it is going to be a Validation type or Generation Type. This Type will have an extreme impact when receiving a serialized part into Inventory. With Validation Type, the serial mask will be used only for validation purposes and cannot be used for generating serial numbers. This means that each serial number has to be manually entered for all quantity being received into stock. Generation Type will be used only for generating purposes and cannot be used for validation of serial numbers. This means that Epicor will add a range of serial numbers based on the starting number and calculate in ascending number order. The last is to enter the Mask format. Once a Serial Mask is in use, the Mask format cannot be changed. When the setup is complete in Serial Mask Maintenance, you can now open Part Maintenance and link the Serial Mask to the corresponding parts.
There is an additional Serial Tracking option that can be selected called Lower Level Serial Tracking. This is used to track any serialized components that was used in the manufacture of another part that is serialized. The manufacture serial part is the Parent Serial Number and any components used would be the Child Serial Numbers. After a job is completed you would perform a Serial Matching of the component serial numbers to the manufactured serial number. There is now a link of all the serialized components that were used to manufacture the serial part. In addition, the status of the component serial numbers will show as being consumed and removed from inventory.
There is the ability to add User Defined fields in Serial Number Maintenance. These fields can be used to enter user defined data that needs to be linked to a particular serial number. Examples of information that may want to link is a Model Number or dimensions for the part. This information will be stored in the Serial Number dataset and linked to the serial number and the part the serial number is linked to in Epicor.
Once a part is set for Serial Tracking it cannot be removed unless all inventory is adjusted out. After the inventory is adjusted out, you will then have the ability to uncheck Track Serial Numbers and reload the inventory back into stock. Also, keep in mind that every site listed under a part has a place to choose the Serial Number Format.
